       Volunteering (PIP)

 

 

 

 

Volunteering - Parent Involvement Program (PIP) 

 

Parental support is essential to YCCO's continued success.  Parent/guardian volunteering hours help YCCO raise funds, support the educational program (rehearsals, concerts, educational tours/trips, etc), and provide administrative support.  These activities help YCCO to operate with a small staff and to keep tuition affordable.

 

The Parent Involvement Program (PIP) is our framework for volunteering.  Below are various ideas on how to succeed in PIP, with committees and individual projects.    Also available is a signup up form you can fill out and send to the Choir Director.  Click here for the form.

One avenue to get involved is by signing up for one of our committees.  These committees are formed at the beginning of the Choir season but you can email the committee contact anytime if you are interested in joining up.

 

The following list are the current standing committees for the Choir including a brief description and the committee contact email address.

Singers' School Committee

This committee promotes the Singers' School for our grades 1-4 students.  Committee members distribute flyers and other materials to elementary school's Choir and Music programs.  This committee will meet right away as Singers' School's first session starts October 8th.

Wreath and Poinsettia Sale Committee

The annual Christmas wreath and Poinsettia sale is our largest fundraiser and our biggest source of income outside of tuition.  Committee members work in planning of the sale, launching the Choristers sale, performing additional large volume business sales, and distribution assistance. There are lots of volunteer opportunities!

Right Response Committee

New to our fund-raising plans this season is Right Response.  Right Response is a first aid kit--a practical product with major potential for earning income for the choir.   This committee will plan various fundraisers that include these products both as Chorister sales and sales during other events.

Program Advertising Committee

All parents are encouraged to promote advertising in our Concert programs, however, this committee will focus on contacting our local business community and individuals to promote additional advertising.  Funds raised from advertising sales in our two concert programs are an important contribution to YCCO's finances.

Communications Committee

A fairly broad topic, this committee will coordinate YCCO's “public face” by writing and distributing press releases to local and regional media, updating information on the Web page, reporting YCCO's status on Facebook© and taking advantage of other forms of publicity.

Grants & Donor Appreciation Committee 

This committee wears two hats:  applying for grants, Gift of Song letter campaign, and showing donors that we appreciate them.  While YCCO does contract with a professional grant writer, the fact remains if we had some parents with grant-writing experience, we might not have to spend money to raise money!  Also, YCCO has many friends in the choir community, and we want to let them know how much we appreciate them.

Procurement Committee 

 

This committee will be responsible to procure gifts that are used to show appreciation for our Concert special guests and gifts to be used as incentives for Choristers that participate and achieve goals in fund raising.   In addition, seek other donations that can be used at other activities such as concert snacks, concert sale items etc, as requested by other committees and activities.

The following list shows additional PIP opportunities outside of committee involvement:

  • A Little Night Music: Periodically, YCCO will stage a dinner-concert-auction to promote the choir and raise donations. Join with the Board to plan, organize, prepare for, and work at this fund raising benefit.

  • Auditions: Publicize spring auditions, contact music teachers for referrals, correspond with families of referred students and answer questions by phone, schedule auditions, organize the auditions days and information packets for prospective choristers, facilitate registration and the auditions process, keep records, send response letters, etc.

  • Carpools: Organize carpools and/or drive for various out-of-town functions.

  • Chaperones: Chaperone a group of choristers during a trip or activity, serve as the tour nurse, organize games and other fun activities, etc.

  • Concerts: Setup, ushers, ticket sales, flowers, programs, backstage choir assistants, stage crew, sponsor and donor receptions, cleanup, etc.

  • Fund Raising: Plan, organize, publicize, work on, and maximize the profits for fund raising projects. Offer creative, fun, profitable ideas and suggestions.

  • Performances: Contact service clubs, churches, etc. to hire one of our choirs for private performances. Serve as liaison between YCCO and the sponsor; assist the choir director with advance arrangements and on-site logistics.

  • Scrap Booking: Clip all news items on YCCO, take snapshots at YCCO events, keep scrapbooks up to date, create displays to publicize YCCO as requested; etc.

  • Music Library: Catalogue, store, number, distribute to singers, collect, and keep records for YCCO’s sheet music.

  • Publicity: Work on media contacts, news releases, special publicity events (choir participation in parades, etc.)

  • Registrars: Check in choristers at rehearsals, concerts, etc., keep records, call and mail information to parents.

  • Rehearsal Helpers: Assist the choir director at Monday night rehearsals. Use positive reinforcement and friendly discipline to help maintain order and focus choristers’ attention on the director.

  • Retreats and Camps: Assist the choir directors in organizing and facilitating our winter retreats for each choir. Organize activities, recruit helpers, arrange for snacks and meals, supervise and facilitate, etc.

  • Snack Shack: Set up and sell healthy snack items during break time at Monday night rehearsals.

  • Uniforms: Help organize and sell used uniforms and assist with uniform check days, etc.

  • Video Production: Special skills and equipment required. Film YCCO concerts and produce professional-quality videotapes

Remember you must document approved completed PIP hours on the YCCO PIP form, within the quarter they were completed.  Questions regarding approved activities or opportunities can be directed to the Volunteer Coordinator.
